Privacy Policy

This policy explains how MailerZ collects, uses, stores, shares, and protects personal data across our website, account application, forwarding service, and SMTP service.

MailerZ acts as a controller for account, billing, support, website, and security data. For message content and routing data processed on a customer’s instructions, the customer is generally the controller and MailerZ acts as processor or service provider.

Scope

This Privacy Policy applies to MailerZ websites, account interfaces, APIs, inbound email forwarding, authenticated SMTP sending, support, and related services. It does not govern third-party inboxes, payment providers, registrars, DNS providers, or websites that have their own privacy notices.

Information we collect

  • Account data, such as name, email address, login and security information, organization details, and preferences.
  • Domain and service configuration, including verified domains, DNS status, aliases, routes, sending identities, credentials metadata, and plan settings.
  • Email-processing data, including sender and recipient addresses, envelope and header metadata, delivery responses, message content, and attachments when needed to provide forwarding, storage, retry, or recovery.
  • Transaction and subscription records. Payment card details are handled by the payment provider and are not intentionally stored by MailerZ.
  • Technical and security data, including IP address, device and browser details, access time, authentication events, API or SMTP activity, error logs, and abuse signals.
  • Support communications and any files or details you choose to provide.

How we use information

  • Provide, route, secure, monitor, troubleshoot, and improve the service.
  • Verify domains, recipients, aliases, and sending identities.
  • Authenticate users and SMTP connections, prevent open-relay use, detect fraud, spam, phishing, malware, and abuse.
  • Process subscriptions, enforce limits, communicate service or security notices, and respond to support requests.
  • Meet legal obligations, preserve evidence, resolve disputes, and enforce our Terms and Acceptable Use Policy.
  • Use aggregated or de-identified information for reliability, capacity planning, and product analysis where it cannot reasonably identify a person.

Legal bases

Where the GDPR or similar law applies, we rely on contract to provide requested services; legitimate interests to secure, maintain, and improve the service; consent where required for marketing communications; and legal obligation when records or disclosures are required by law. Customers are responsible for establishing a lawful basis for personal data they route or send through MailerZ.

Sharing and disclosures

We disclose information only as needed to provide the service, process payment, support customers, protect users and infrastructure, complete a business transaction, or comply with valid legal process. Service providers must process data under appropriate contractual and confidentiality obligations. We do not sell message content or personal data, and we do not use message content for third-party advertising.

Retention

Message content retained for recovery follows the plan’s stated storage window, currently 14 days on Free and 90 days on paid plans, unless it is deleted earlier, retained at the customer’s request, or preserved for security, dispute, or legal reasons. Account, billing, delivery, security, and audit records are kept only as long as reasonably required for the purposes described in this policy and applicable law.

International transfers

MailerZ and its service providers may process data in countries other than the customer’s location. Where required, we use recognized transfer mechanisms and contractual safeguards, and we assess service providers according to the nature and risk of the processing.

Your rights and choices

  • Access, correct, export, or delete eligible account information.
  • Object to or restrict certain processing, and withdraw consent where processing relies on consent.
  • Request portability where applicable.
  • Opt out of non-essential marketing communications.
  • Complain to an appropriate data protection authority.
  • Authorized representatives may submit requests where local law permits. We may verify identity and authority before acting.

Security and children

We use administrative, technical, and organizational controls designed for the nature of an email-delivery service, but no online service can guarantee absolute security. MailerZ is not directed to children under 16 and is intended for business and adult users. We do not knowingly create accounts for children.

Changes and contact

We may update this policy as the service, law, or our processing changes. Material changes will be posted with a revised effective date and, where appropriate, communicated through the account or email. Privacy requests may be sent to support@mailerz.net.
